Role Purpose

To provide experienced, high-level support to the Head of Promoter Operations in all aspects of delivering live events and tours in a fast-paced environment.

The Ideal Candidate

The role will be working on shows of differing scale, but mainly in arenas and stadiums and therefore experience of these would be useful but not essential

As a Promoter Assistant, you’ll be comfortable in acting with autonomy, reacting quickly and making decisions, carrying out essential tour admin with a great eye for detail, maintaining strong cross-departmental and external relationships, being the conduit of information and keeping momentum, and contributing strategically to the planning, launch and execution of shows and tours.

You’ll have a good understanding of tour routing, setting budgets, marketing, ticketing, and production planning.

You will feel comfortable in creating and building strong relationships with artist teams, including agents, managers, PRs, touring personnel, etc. through day to day contact, attending shows and networking.

You will be a key part of the delivery team on all of the promoter’s projects, overseeing guest list arrangements, and representing the promoter with all other departments.

You will have strong organisational, adaptability, and prioritisation skills, along with the ability to work under pressure and to deadlines, knowing when to flag potential challenges to those.

You will have good commercial awareness and a solid understanding of the UK music market.

Key Responsibilities

  1. Assist the promoter with the full cycle of show/tour delivery: researching viability and availability of venues and dates, routing tours, and confirming shows with venues and internally.

  2. Work closely with the ticketing, marketing, VIP and finance teams on ensuring all aspects of a show/tour are covered.

  3. Prioritise effectively and adapt to changing workload requirements, communicating changes to all involved.

  4. Prepare and manage budgets, financial projections, and settlements; ensure accurate tracking of income and expenses.

  5. Coordinate contract negotiations / artist & venue contracts in liaison with legal / contracting team.

  6. Scheduling: managing calendar(s), meeting coordination, travel, logistics for the promoter, including out-of-town travel and shows.

  7. Oversee marketing and promotional activity for shows: drafting or reviewing campaign plans (posters, flyers, digital, radio/TV where relevant), managing ad materials & artwork, collaborating with marketing team to maximise sales.

  8. Monitor ticket sales, analyse data, and adapt promotional strategies to optimise performance. Handle guest lists, hospitality, ticketing issues, liaising with internal ticketing team.

  9. Act as first point of contact for artist/agent/venue/manager queries; maintain professionally strong relationships.

  10. Ensure compliance: immigration / work permits for international artists, insurance, local licensing where needed.

  11. Deliver show-related reporting: post-show financial & marketing reports; feedback to internal teams and artists / agents.

  12. Assist with production and logistics: working closely with the production department to ensure smooth delivery.

  13. Represent Kilimanjaro Live at shows, conferences, meetings, maintaining the company’s brand and reputation.

  14. Undertake ad hoc duties/projects as required by senior management.
